25/30 hours per week

In this role you will:
Skills

  • Maintain and effectively manage Well-Spring E-mail (Responding to information requests, forwarding messages to appropriate staff, etc.) and answer all Well-Spring incoming sales calls.
  • Responsible for the routing of all AFO applicants’ medical data. (Faxing medical history along with med profile and letter to AFO’s primary physician; doing follow-up with physician’s office when needed; upon return, filling out routing cover sheet and routing to appropriate staff; setting up Assessment with AFO and creating a permanent file and making sure all necessary information is in file.)
  • Complete an AFO tracking sheet for each AFO to keep on file and also an Outlook Task list for each AFO that is currently being routed.
  • Assemble information packets. This involves keeping an ample supply of floor plans, cover letters, current fee sheets and additional information in stock and readily available. Also, maintain an inventory of application forms and current pricing inserts and keeping brochure racks full throughout the community.
  • Prepare, coordinate and mail letters and/or collateral material, handouts, pocket-sized information cards, etc. as needed.
  • Answer incoming calls for Marketing, assisting callers with any marketing question or concern. Take and process information and mail out any information packets. File hard copy Information Request Sheet and enter all data and updates into marketing software.
  • Monitor and manage appropriate calendars and set up appointments. Call residents when a tour of their unit is needed and arrange a company car with transportation when needed.
  • Lead tours of our Well-Spring campus, both Independent and Health Care and provide accurate information to prospective residents & their families.
  • Meet with guests, whether walk-ins or by appointment, and professionally present to them what Well-Spring offers as a retirement community. Answer questions they may have and explain and complete forms for AFO or reservations.
  • Perform a weekly contact/activity log of calls, packets sent, appointments, & tours.
  • Complete approximately 15-20 follow-up calls of contacts each week, accurately recording the follow up activity sheet. Enter all activity and updates from these calls in marketing software.
  • Assist with creating reports using Excel and PowerPoint, to include graphs or visual data, for tracking activity.
  • Confirm “Try-it” apartment or Guest Unit for visiting guests with Concierge, making sure apartment is clean & contains current Well-Spring information packet, maps etc. Assist with itinerary for guests with residents set up as dining companions, tours, activities, etc.
  • Assist with special events, assisting with invitations, name tags, favors, and other give-away marketing items.
  • Prepare the team for tradeshows or health fairs off site. Prepare display boards, handle booth organization and assist with staffing the booth during such events.
  • Complete and send-out mailings, including AFO birthday cards with free meal voucher each month. our Dining Room and mail each AFO a monthly Currents and other special publications.
  • Assist with walk-through of vacant units and complete Vacant Unit Check List when needed.
  • Provide new move-ins with Temporary Link-to-Life and Change of Address Cards.
  • Mail ‘Best of Both Worlds’ residents Currents and Dining Menus on a regular basis and document their assigned units on resident’s lists.
  • Manage and implement event invitation mailings to waiting list and marketing prospects in a timely manner.
  • Order and manage marketing supplies, file and complete other administrative duties as needed.
  • Perform other related duties as directed by Director of Sales, Director of Marketing, Associate Director, or Executive Director.

Qualifications:

  • High School graduate.
  • Ability to read, write, understand, and fluently speak the English language.
  • Prior experience in Administrative Assistant work.
  • Prior sales experience preferred.
  • Solid computer skills, Word, Excel, etc.
  • Good organizational skills.
