Established Southern Orange County collection firm specializing in the representation of homeowners associations (HOAs), community associations and condominium developments throughout California.
Our firm is currently seeking a full-time Administrative Assistant to join its assessment collection division. HOAs are everywhere and are growing in number, size and sophistication. The demand for HOA assessment collections is increasing exponentially and will continue to do so as housing shifts toward planned developments and condominiums. We are looking for more talented, energetic and self-motivated individuals to join our team and contribute to our continued success.
Candidate should be accustomed to handling time sensitive matters and capable of multitasking throughout the day. The candidate must possess strong communication, writing, organization, and technology skills.

Responsibilities:
- Answering phones, communicating with homeowners, clients and clients' representatives.
- Distribution of incoming mail.
- Providing administrative support to Firm's Account Managers and Paralegals.
- Assisting with updating firm's client list in Contact Relationship Platforms.
- Assisting in the management of Alterra's trust account disbursements.
- Preparing legal correspondence and documents.
- Submitting documents to be electronically recorded.
Qualifications:
- Minimum 1-2 years of administrative work in a professional environment.
- Ability to work independently and is able to take direction well.
- Exceptional attention to detail, highly organized and strong follow up skills.
- Ability to effectively prioritize work flow, multi-task and work under pressure.
- Strong interpersonal and relationship-building skills; able to work effectively and collaboratively in a team environment.
- Ability to maintain the integrity of confidential information.
- Strong computer skills including extensive knowledge of Microsoft Office and legal database software.
- Excellent grammar, spelling, and punctuation.
