Position Overview:

The Senior Inside Sales Coordinator at The Ivey Academy, plays a crucial role in sustaining the Academy’s operational excellence and driving our growth ambitions. Reporting directly to the Director, Ivey Academy Operations, this role’s primary mission is to ensure the flawless management of our CRM system, Salesforce. Exceptional attention to detail is critical for maintaining the integrity and accuracy of our data, providing a solid foundation for strategic decision-making, and enhancing organizational efficiency. Responsibilities for this role encompass managing comprehensive data and reporting for both Open and Custom program activities. This includes the creation of application forms, the management of incoming applications, and the careful monitoring of activity, lead, and enrollment data, coupled with the consistent updating of dashboards and reports.

The Senior Inside Sales Coordinator, is responsible for the scheduling and booking of facilities for Open Enrollment Programs, ensuring seamless coordination with faculty and facility management. This role extends further to the meticulous handling of incoming leads and inquiries, channeling these to the Sales team for effective engagement, all while ensuring accurate monitoring within Salesforce. This strategic position demands a proactive, detail-oriented approach to nurture the Academy’s client relationships and operational goals, making you an integral part of the team’s effort to broaden The Ivey Academy’s reach and impact in the market.

Responsibilities:

Manage Activity/Lead/Enrolment data in Salesforce

  • Regularly check The Ivey Academy inbox multiple times daily and ensure applications are processed within 24 hours.
  • Efficiently process all leads and tentative reservation requests, assigning follow-up tasks to the sales team.
  • Process Brochure Download leads by merging duplicate contacts, updating lead status, adding to program campaigns, and assigning follow up tasks.
  • Process transfer and refund requests promptly.
  • Create and oversee Salesforce reports and dashboards for open enrollment and custom programs, as well as reports requested by leaders and team members.
  • Import custom participant information into Salesforce.
  • Add new programs to Salesforce and archive the old programs.
  • Consistently maintain and update all contact information in Salesforce to ensure data integrity.

Form Assembly

  • Create and maintain 90+ Open Enrollment and Custom forms annually, ensuring seamless Salesforce integration.
  • Troubleshoot and fix form errors using the response log.
  • Regularly update and archive forms to manage access and ensure up-to-date content.

Program Scheduling/Facility Bookings

  • Assess facility availability and arrange bookings for all Open Enrolment programs.
  • Oversee Open Enrolment program scheduling, working in tandem with faculty and facilities, securing holds and coordinating contracts.
  • Ensure the Open Enrolment program list is updated and that the team is informed of changes.
  • Add new programs into Salesforce and monitor facility cancellation deadlines, notifying the team of upcoming penalty periods.

Campaign Monitor

  • Compile and upload targeted lists for email campaigns.

Business Development and Operational Support

  • Conduct research on potential clients and contribute to the preparation of reports.
  • Ad hoc projects as assigned.


Qualifications:

Education & Experience

  • Undergraduate university degree or 2-year diploma from a recognized community college
  • A minimum of three years' experience in data management or analytics within a professional corporate setting, with a proven track record of effective client interaction and team collaboration.
  • Proven experience with Salesforce or CRM.

Skills & Abilities

  • Possess a keen attention to detail and a strong orientation to process and detail management.
  • Strong ability to initiate, establish, and nurture meaningful relationships.
  • Strong interpersonal skills with a high level of professional verbal and written communication, tact, and diplomacy
  • Proficient in Microsoft Office suite of products
  • Ability to multitask, work effectively within a team towards common goals, and ability to organize own work to meet demanding deadlines.
  • Results driven by a strong commitment to customer satisfaction.
  • Able to prioritize tasks effectively, with a focus on maximizing potential revenue opportunities.
